Frequently Asked Questions

If your question is not here, write to us; we reply within two working days.

Where is our data kept?

On your server. The system is installed on your own domain and the database runs on your hosting. Author details, referee reports and full texts are not held by us.

There is a consequence: backups are your responsibility. We set up automatic backups together during installation.

What happens if we stop paying the annual renewal?

Your site does not shut down. Published articles, your archive and your pages stay online exactly as they are, and readers keep reaching them.

What stops is new activity: no new submissions, reviewer assignments or issue publishing. Updates, security patches and support stop as well. Everything resumes when the renewal is paid.

What languages does the system support?

The interface is available in Turkish and English. Each journal chooses which one its panel opens in.

Article metadata is kept in both the article's own language and English (title, abstract and keywords), which is what indexes ask for, and the public site presents both.

Will indexing follow if we move to PubliJournal?

Nobody can promise that, and we do not. Indexing decisions belong to the index, and they also weigh content, boards and the quality of peer review.

What the system does is solve the part of the criteria software can solve and put the rest in front of you. Technical gaps are what sink most applications.

We are on DergiPark. Do we have to leave it?

No. The two run side by side; many journals stay on DergiPark and open their own site as well.

If you do want to move entirely, there is a separate screen for archive migration; we transfer issue by issue or in bulk.

How long does archive migration take, and can articles be lost?

Migration proceeds issue by issue, each batch keeps its identity, and a batch can be rolled back completely. Running it a second time updates existing records rather than duplicating them, so resuming an interrupted migration is safe.

The timeline depends on how tidy your files are. If the metadata already sits in a spreadsheet, an issue takes minutes. If it is scattered, it has to be gathered first.

Will our old URLs break? What about existing citations?

Each article's previous address is recorded during migration, and the article settles at its own permanent address on the new site. Where a DOI exists it is independent of the URL and resolves to the new location.

If you still control the old domain, redirects are set up. If you do not, the citation chain still holds for articles that have DOIs.

Can we register DOIs? We do not have a prefix.

The system includes a Crossref deposit pipeline: a published article enters the queue, metadata is produced and registered, with references, ORCID identifiers, licence terms and funding records included.

The prefix itself comes from Crossref or a sponsoring organisation and is charged separately. If you have one it connects directly; if not we guide you through the application. Journals that do not want a direct Crossref membership can register through a sponsoring organisation; the system supports both routes.

How many people can use it? Are reviewers charged separately?

There is no user limit and no per-reviewer fee. The roles are author, reviewer, section editor, editor, assistant editor, administrator and reader; one person can hold several and switch between them in the panel.

Can we use our own design?

Colours, logo, typeface, menus and home page blocks are all editable from the panel. Beyond that, a bespoke design is a separate piece of work we are happy to discuss.

Does blind review actually work?

Yes, and it is not left to manual deletion. Hidden document properties are cleaned, and names, e-mail addresses, ORCIDs, affiliations, titles, grant numbers and acknowledgements in the body, footnotes and headers are located and put to you for approval. The approved copy is what reaches the reviewer.

One honest limit: this scan works on Word (.docx) files, not on PDFs.

Does the system do the typesetting, or do we?

The system does. You pick one of eleven layout templates; cover, masthead, running header, page numbers, author footnotes and the citation line fall into place on their own. You edit the article text in the panel's editor. You can paste straight from Word, and the formatting debris that comes with it is cleaned up.

Abstract, keywords, DOI, ethics and conflict statements are not retyped; the system takes them from the manuscript's own record. The same template produces both a single article's proofreading copy and the full issue PDF.

Let us be plain about the limit: this is not a desktop publishing program. If you want a bespoke design that steps outside the templates (your own cover layout, an unusual column structure) you can still prepare it elsewhere and upload it as a PDF. That route stays open.

How long does setup take, and what do you need from us?

Without archive migration, usually a few days. We need domain and hosting access (or you take hosting from us), the journal's masthead details, logo, board list and your policy texts. If you do not have policy texts yet, you start from our drafts.

If we leave, can we take our data?

The data is already on your server: the database and the files are yours. Article metadata also exports as OAI-PMH and DOAJ XML, and citations as RIS and BibTeX. There is no lock-in.
